Executive Assistant to Music Exec.

Our client, a major music company in NYC is eager to add an Executive Assistant to join their team! The EA will be responsible for serving as the first point of contact to the Exec., answering all incoming calls, logging messages, setting up travel arrangements as well as assisting with reports as needed. Most importantly, it will be the EA's responsibility to anticipate the needs of the Executive.
Must have:
• 2-4 years of corporate EA experience supporting high-level executive
• Strong computer skills, 60wpm, Microsoft Office as well as familiarity with Powerpoint
• Strong grammar and organizational skills
• Able to Multi-task and have excellent follow-through 
• Must be a self-starter with the ability to prioritize, organize and establish administrative procedures in a fast-paced environment
• Ability to handle confidential information a must

This is a long-term temporary project expected to go through December 2019 and based out of Mid Town, Manhattan with a compensation of $20-33/hr. DOE

Facilities Coordinator

Our client, a leading live music and entertainment company, is looking for a Facilities Coordinator to join their team! In this role, you’ll use your sharp operational skills and office service experience to provide exceptional facility support: you’ll process all incoming and outgoing mail (including courier, UPS, and FedEx shipments), maintain copy stations, ensuring they are operational and stocked at all times, and handle inventory monitoring and orders for basic office supplies, kitchen needs, and first aid materials. You’ll also be the primary point of contact for service vendors and building management, assist with office moves, and serve as backup receptionist as needed. This is an excellent opportunity to develop with a leader in entertainment!

You should have:
- a Bachelor’s degree
- a minimum 1-2 years of experience within an office assistant/coordinator or mailroom capacity (internships ok!)
- a proven understanding of office and facilities services
- proficiency with the Microsoft Office Suite and Visio
- the ability to lift up to 60 pounds
- top notch communicative, collaborative, and organizational skills, with the ability to exercise sound judgment and discretion
- open availability, with the ability to work weekends and nights as needed

Accounts Payable Clerk [ music ]

Our Client, a major music company in NYC is excited to add an Accounts Payable Clerk to support their team! The AP Clerk will be responsible for preparing and processing payments, reviewing purchase orders, statements and invoices as well as reconciling accounts. The AP Clerk will also be responsible for tracking payments and resolving discrepancies as needed, so attention to detail is crucial!

Must have:

  • 2+ years of AP processing experience [ matching and batching ]

  • Competent using spreadsheets and databases

  • Strong attention to detail

  • Bachelor's degree in Accounting or Finance preferred or equivalent work experience

  • Navision (Dynamics NAV) and SAP experience a plus!

  • Ability to work with vendors and update vendor database

Administrative Assistant, Business & Legal Affairs

Our client, a global music organization, is looking for an exceptional administrative assistant to support their Business & Legal Affairs team! In this role, you’ll provide both executive and departmental administrative support for a busy Legal team: in addition to handling phones, calendar management, scheduling, travel coordination, and filing, you’ll also serve as the primarily liaison to other internal and external teams, review, proofread, and redline legal documents, and assist with payment requests, among other duties. This is an excellent opportunity to develop with an industry leader in entertainment!

You should have: 
- a Bachelor’s degree in Business Administration, Business Management, or a related field
- a minimum 1-2 years experience providing administrative support in a legal setting (internships ok!)
- proficiency with the Microsoft Office suite
- a general understanding of the music industry and publishing
- excellent organizational skills, with a proven attention to detail and ability to handle confidential information with discretion
